These terms explain what happens when you use this website, book a headshot session, or buy any photography services from Nutkins UK Ltd trading as ProHeadshots UK ("ProHeadshots", "we", "us"). By using the site or booking a session, you agree to the terms below.

The simple version

When you book a session, we create the photographs and we keep the copyright. You can use the photos for your professional profile and marketing. We may use a small selection to show our work unless you tell us in writing before the session. Please treat everyone with respect and pay on time. The rest of this page fills in the detail.

Who these terms apply to

These terms apply to anyone who:

• Visits or uses this website
• Enquires about, books, or pays for a photography session
• Takes part in a photo session as the subject
• Receives images from us

What we do

We provide professional headshots and related photography services, including professional headshots, corporate headshots and personal branding photography.

Bookings and payment

• Booking confirmation: A session is booked once you have a written confirmation from us (email is fine). For team bookings, the organiser is responsible for confirming details and passing on prep notes.
• Payment: Payment terms will be set out on your invoice or booking confirmation. Unless agreed otherwise, invoices are due within 7 days. Late payment may delay image delivery.
• Prices and VAT: Prices are in GBP. VAT is added where applicable.
• Expenses and travel: For some locations, travel or venue costs may apply. If so, we will agree these in writing in advance.

Rescheduling, cancellations, and refunds

We understand plans change. Here is how we handle it:

• Rescheduling: If you need to move a session, please tell us as soon as possible. We will do our best to find a new date.
• Cancellations: Any fees already paid are non-refundable unless your booking confirmation says otherwise. If you cancel at short notice and we cannot refill the slot, we may charge the full session fee.
• We reschedule: If we need to reschedule due to illness, emergency, venue access, or equipment failure, we will offer a new date. If a new date is not possible, any session fee paid will be refunded.

Copyright and image ownership

We own the copyright

All photographs we create are protected by copyright and remain the property of ProHeadshots UK. This is standard for professional photography.

What you can do with your images

When you purchase images, you receive a licence to use them. In plain terms, you can use your images for normal professional purposes, including:

• LinkedIn and other professional profiles
• Your website and team pages
• Press, speaking profiles, and author bios
• Company brochures, proposals, and internal profiles
• Social media posts that promote you or your business

What you cannot do

You may not sell, licence, or redistribute the images as a product. That means you cannot:

• Sell the images or give high-resolution files to third parties for their own use
• Upload the images to stock libraries
• Claim you took the photographs
• Make heavy alterations that change the meaning of the image, without agreeing it with us first

Simple example: You can use your headshot on LinkedIn and your company website. You cannot sell the photo to someone else, or let another business use it as their marketing image.

Portfolio and marketing permission

By booking a session, you give us permission to use selected images from your session to show our work. This can include our website, social media, printed portfolio material, and marketing examples.

• No extra payment: You will not receive payment if we use images for portfolio or marketing.
• Reasonable selection: We use a small selection, not your full set.
• Privacy option: If you do not want your images used in our portfolio or marketing, tell us in writing before your session. We will respect that request.

Image delivery and file storage

• Delivery: Delivery timing is stated on the relevant service page or your booking confirmation. For many headshot sessions, delivery is within two working days.
• Download: Images are delivered digitally via a private link.
• Backups: Please download and back up your files promptly. We keep an archive for a limited time, but we cannot guarantee long-term storage of every delivered file.

Website content and acceptable use

Everything on this website (text, images, branding, layouts) is protected. You may view and print pages for personal use, but you may not copy, republish, or reuse website content without permission.

Privacy and data protection

We only collect information you give us so we can respond to your enquiry and deliver the service you have requested. For details, please read our Privacy Policy.

We keep tracking to a minimum. We use Plausible Analytics, which does not use cookies and provides only aggregated, non-identifying usage statistics. As such, we do not display a cookie consent banner. For full details, please see our Privacy Policy.

Limitation of liability

We take great care with planning, equipment, and backups. However, if something goes wrong, our liability is limited as follows (to the maximum extent allowed by law):

• If we cannot complete your session due to a fault on our side, we will reschedule or refund the session fee.
• If delivered images are lost due to a major technical failure, our maximum liability is the amount you paid for the affected service.
• We are not responsible for indirect losses such as missed business opportunities.

Changes to these terms

We may update these terms from time to time. The version shown on this page applies at the time you book (or, for website use, at the time you visit the site).

Law and jurisdiction

These terms are governed by the laws of England and Wales. Any disputes will be handled by the courts of England and Wales.
